The Situation

Leads were coming in. Almost none of them were converting.

Sims Ventures is a real estate lending company built on speed, transparency, and long-term investor relationships. They had marketing activity running across LinkedIn and Facebook. They had a CRM. They had a Calendly integration. What they did not have was a system connecting any of it, a coherent structure that captured a lead, qualified them, routed them correctly, and maintained consistent follow-up until they either converted or cleanly exited the pipeline.

The CRM was populated but ungoverned. Pipelines had no defined stages. Leads had no consistent ownership. Follow-up was manual and inconsistent. The website and funnel copy were sales-heavy in an industry where trust is the primary conversion lever. And social engagement across LinkedIn and Facebook, where the warmest prospects were interacting was not being captured into the CRM at all. Conversations were happening. Leads were falling out of them.

What Was Missing

Structure. Ownership. A system that could hold a lead from first contact to funded deal.

The absence at the centre of this project was not a missing tool but a missing architecture: a defined journey from first expression of interest through qualification, nurture, and consultation booking to active deal management. Without that architecture, every part of the system was operating independently. Social content generated interest. The website failed to convert it. The CRM could not track it. Follow-up did not sustain it.

There was also a messaging problem. The copy across the website and funnels was positioned like a lender selling loans rather than a trusted partner managing investor risk. In a market where real estate investors have been burned by predatory lending, the brand’s credibility and relationship-first positioning was its strongest asset, and it was not communicating it.

What I Built

A connected growth system: from social interest to funded deal, with every step automated.

The engagement was structured in three phases. The first phase established the CRM foundation and lead capture infrastructure. Two investor-focused funnels were built with dedicated landing pages, rewritten from the ground up to reflect Sims Ventures’ positioning as a relationship-driven lending partner. Landing page copy was restructured around the four concerns that real estate investors actually have: speed, transparency, flexibility, and risk. Each funnel captured lead qualification fields, credit score range, budget, investor experience level, and ARV, and routed leads automatically into the correct pipeline stage in Shape CRM with tags, labels, and internal notifications applied on entry.

The second phase built the marketing and automation layer. Email sequences were written and activated for three distinct lead states: new leads receiving a welcome and credibility sequence, cold leads receiving a re-engagement sequence built around market education, and warm leads receiving a progression sequence moving them toward a consultation booking via Calendly. ManyChat was integrated across LinkedIn and Facebook to capture engagement directly from social comments and DMs, sync contacts into Shape CRM, and trigger follow-up sequences automatically. A content calendar was built for the first month of activity across both platforms.

The third phase completed the CRM optimisation layer. Existing pipelines were reorganised with clear stage definitions, required actions per stage, and ownership assigned to every lead. Automated reminders and follow-up triggers were configured so that no lead could sit dormant without surfacing to the right person. A reporting framework was established across deal stage, lead source, and campaign performance. Every component was tested and documented before handover.

What runs automatically now

Every lead that enters either funnel is qualified, tagged, routed into the correct pipeline stage, assigned an owner, and entered into the appropriate email sequence, all without manual input. Social engagement via ManyChat feeds directly into the same system. Calendly bookings trigger a pre-meeting sequence automatically. The pipeline surfaces stalled leads before they go cold.
